General purpose of the job:
Briefly describe the job’s primary purpose or contribution to the department or the organization
Manages data validity review and entry into ERP. This position will assist in the purchase invoice processing, entry of contract data into the system for the upcoming year, and shipment tracking.

 

Essential duties and responsibilities:
List the job’s essential or most important functions and responsibilities. Include all important aspects of the job – whether performed daily, weekly, monthly, or annually; and that occur at irregular intervals.
• Review, document and communicate customer and supplier requirements as outlined in
contracts and agreements
• Advise commercial team of any inconsistencies between ERP customer details and contract details.
• Enter purchase and sales blanket orders into ERP using contracts provided by commercial team.
• Process entered contract out of system and send back to appropriate parties.
• Ensure files are electronically filed appropriately.
• Review inbound invoices from suppliers for matching amount in ERP (or within tolerance).
• If invoices are matching or within provided tolerance, process invoice in system and save in appropriate folder for
accounting to pay.
• If invoices are not matching or not within tolerance, send invoice to appropriate party based on delegation of authority. • Confirming on time shipments with external carriers.
• Follow up with internal customers as needed.

 

Education and/or work experience required for this role:
Deviation from the education and/or experience level listed below is acceptable only if approved by the President. The reason for the deviation must be documented and filed in the personnel file.
• Bachelors Degree in any field preferred or
• Associates Degree in any field preferred
