Order Service Specialist (m/f(d)

For our Operations Management team within the Business Unit Pharma located in Hamburg, we are looking for a motivated Order Service Specialist (m/f/d) for a limited period of 2 years.

Your tasks:

• You will be responsible for receiving, verifying, collecting, and entering customer orders into the ERP (SAP) system.
• Managing master data, finished product specifications, product data sheets, and artwork processes will be part of your role.
• In this position, you will apply demand requirements through the ERP (SAP) to the Supply Chain Specialist in Procurement.
• Expect to prepare and dispatch Sales Confirmations to customers.
• Your duties will include monitoring delivery schedules with Procurement, Finance, Artwork, RA, QA, and transmitting dispatch notifications, batch documentation, and packing lists to clients.
• Administering and archiving sales files, handling order-related customer inquiries, and managing commercial claims will be essential tasks.
• You will collaborate with customers, internal colleagues, HELM subsidiaries, and agents in various countries, as well as maintain customer-specific information.
• Collecting and tracking customer demand forecasts, entering them into the SAP planning tool, and tracking open orders with the Credit Department will be necessary.
• Be prepared to support product launches with customers and internal departments, and serve as the first contact for customer inquiries.
• Creating Debit and Credit Memos, handling reconciliations with Account Managers and Commercial Support Specialists, and dispatching customer-specific samples will be part of your responsibilities.
• You will support production campaign planning with customers, coordinate and track open amounts due for destruction costs, and select freight forwarders.
• Organizing sample shipments, monitoring current shipments, handling the procurement and administration of data loggers, booking customs invoices, processing freight and logistics service invoices, handling customs declarations, storing CMRs, AWB, and BL, participating in launch meetings, and supporting shipment preparations before launch will be necessary tasks.

Your profile:

• You have a commercial apprenticeship or sound commercial knowledge. The focus here is on a high affinity for the area of customer service, which you may have been able to apply successfully in the pharmaceuticals industry.
• You are proficient in common IT applications such as the MS Office package; especially you need to have a high level of user knowledge of the SAP system.
• You possess a training in GxP and bring the general knowledge of supply chain elements.
• We require proficiency in MS Excel and TrackWise as well as familiarity with and training in internal QA SOPs is necessary for this role.
• You are motivated and open to new challenges. You have a team-oriented, responsible and reliable personality. You also have a precise and accurate way of working.
• Your high communication skills, both internally and externally, in German and English, are essential.
